- Fully executed copy sent to buyer, seller, and closing agent
- Earnest money deposited and receipt confirmed in writing
- Title order opened with the closing agent
- Key dates calendared: inspection deadline, closing date, extensions
Stage 2 — Due diligence (Days 2–10)
- Property access scheduled; lockbox or key coordinated
- Inspection or contractor walkthrough completed with written scope
- Preliminary title report reviewed for liens, judgments, easements
- Payoff statements ordered for every mortgage and lien
- Property tax status and any HOA dues verified
- Insurance quote obtained and binder ordered
- Utilities transfer date scheduled
- Survey ordered if boundaries or additions are unclear
Stage 3 — Clear to close (Days 10–18)
- Title cleared; all curative items resolved
- Deed prepared and reviewed for correct legal description
- Settlement statement reviewed by both parties in advance
- Assignment fee, if any, shown on the settlement statement
- Wire instructions confirmed by phone with a known number — never from email alone
- Closing appointment or mobile notary scheduled
- Photo ID and, if applicable, entity documents ready for all signers
Stage 4 — Final walkthrough (Day before closing)
- Property condition matches contract; no new damage
- Agreed personal property and debris removed
- Tenants vacated or lease and deposits documented for transfer
- Utilities still on for inspection of systems
- Photos taken and dated for the file
Stage 5 — Closing day and after
- Documents signed and notarized
- Funds wired and receipt confirmed by the closing agent
- Deed recorded; recording number saved
- Keys, garage remotes, and access codes transferred
- Final settlement statement and executed documents archived
- Insurance active as of the closing date
- Locks rekeyed and property secured
